Grassroots Rugby uses contributor information to operate an independent New Zealand club rugby newsroom.

What we collect

When you sign in with ChatGPT, Sites supplies your account identifier, email and available display name. Applications include your name, club or outlet, union, requested role, optional website and note. We keep stories, uploads, revisions and editorial actions.

What readers can see

Published stories show their byline and role. Approved contributors are listed by name, organisation, union and role by default. You can opt out in your profile, and an editor can hide a listing. Email addresses, applications, unpublished drafts and editorial notes are not public. Hiding a story also protects its uploaded media unless that media is used in another published story.

Why we keep it

We use this information to assess applications, manage access, publish reporting and maintain an editorial audit trail. Deleted stories are soft deleted and retained in revision history for correction or restoration. Records are held in Sites database and file storage. Backups contain personal information and must be stored securely by the editor.

Your choices

Use your profile to change your public details or directory listing. To request access, correction or deletion under the New Zealand Privacy Act 2020, contact the editor, stating your newsroom email. We may need to verify your identity and retain records where there is a lawful reason.

Photos and younger players

Contributors must have permission to publish their material. Junior and school media require confirmation of parent or guardian permission. Photo GPS metadata is removed during upload. Do not include private contact details or sensitive personal information in stories.

Anonymous site analytics

Public pages use first-party analytics to measure page views, engagement and approximate network location. No GPS or form contents are collected. Records are retained for up to 90 days. Do Not Track and Global Privacy Control are respected; you can disable analytics for your tab using the footer control.

Sign-in and delivery

Newsroom access uses a secure first-party session cookie lasting up to 30 days. Permissions are checked on every request and suspension blocks newsroom access immediately. Application decisions are available in your newsroom; email notifications use the dedicated rugby sender when the provider connection is active. Unconfirmed delivery remains in a private retry queue. Contributor sign-in requires a server-verified Cloudflare Turnstile check; the owner can sign in through ChatGPT to configure it. External video providers have their own privacy practices when you play an embedded video.
